Get Approval Signatures on Hard Copies of all Baseline Documents

When I run a project, I want to get approval signatures on hard copies of most baseline documents. And, if possible, I want to get those signatures face-to-face, one on one. I know that email signatures are an accepted thing nowadays but there’s a reason that i like hard copy signatures. The main reason that i want signatures instead of getting an agreement by email is because I take advantage of the time so you can get the signature to help me to get commitment from the person signing. In addition, I’d like to make sure that the individual signing the document understands what their responsibilities is going to be once they have signed the document. So, I be sure that we walk through the document before I have the signature. I feel like I could have more of a commitment from the person by having him or her actually sign. I also want to make sure that they have reviewed the document because I have no idea how many times a person approves by email a document that she or he hasn’t read. You should, you should use email to pass the document around for review and comment. But as it pertains right down to getting it agreed, print a difficult copy version and speak to those that must sign it to get their signature. I have even had a meeting of all signatories where I presented the last of the document after which passed it around for signature. I’ve done this with Business Cases, Requirements Documents, Project Management Plans, etc. When the document is signed why not have a celebration. Pop open a bottle of…. reverse osmosis water filtration or something. When I was certainly one of 9 Program Directors of a major change program for one of the high-street banks in London, we each had to get a Business Case approved once a year on the 3 year Program. Approval meant having the signatures of a lot of senior managers. Every one of the Program Directors and various support staff met once per week on a Thursday Morning from 8: 30 to 10: 30. The afternoon once i was the first successful Program Director to get my Business Case approved, I arrived at the Thursday Meeting, announced that individuals had been successful in having the Business Case signed and my PA proceeded to haul in a few bottles of Champagne and Orange Juice and we celebrated the occasion throughout the meeting with several Bucks Fizzes. Judging how well the meeting went, we all felt that it was something we must do more regularly. Get hard copies of documents signed, get commitment, and celebrate.
